Closing the month faster with automatic books

When every document posts itself, month-end stops being data entry and becomes a review. Here is a routine that takes an afternoon.

In many growing businesses, closing the month means one person sitting with a pile of invoices, till reports and supplier bills, typing them again into the accounting software. It takes days, and the books still end up disagreeing with the documents they came from.

When the books are built from the documents themselves, that work disappears. In Nizam, every invoice, receipt, POS sale, hotel stay, supplier bill and expense is posted to the Accounts app as a balanced journal entry the moment it is recorded. Month-end becomes a review rather than data entry.

Why month-end usually takes so long

The delay is rarely the accounting itself. It is the gaps: a sales system that says one thing while the ledger says another, expenses still sitting in someone's wallet, and invoices that were raised but never entered. Each gap has to be found before anything can be trusted.

Automatic posting closes most of these gaps by design, because there is only one record. What remains is making sure everything that happened has actually been recorded, and that nothing unfinished is lying around.

A month-end routine that takes an afternoon

  1. Clear your drafts. Finish or cancel any draft invoices and quotes from the month. Drafts, cancelled and deleted documents never count in the books, so a forgotten draft is a sale that is missing.
  2. Record what is outstanding. Enter any expense receipts and supplier bills dated in the month, each with the right category.
  3. Open the Trial balance for the month. It is checked to agree, so you are looking for figures that seem wrong, not for arithmetic errors.
  4. Read the customer and supplier statements. See who still owes you, who has paid in advance, and what you owe each supplier.
  5. Compare the Cash and bank book with your bank statement. Every movement shows the document it settled and the app and branch it came from, so a difference is quick to trace.
  6. Read the Profit and loss and Balance sheet for the whole business, then for each branch, POS or hotel building that matters to you.
Good to know Accounts works on an accrual basis. An invoice counts as income when it is issued, paid or not, and a supplier bill counts as a cost when it is received. That is why your profit and your bank balance will rarely match, and why they should not.

What still needs a person

Automatic books are only as complete as the apps feeding them. If something was paid outside Nizam, record it as an expense so it reaches the books. If an expense category keeps landing in a general account, link that category to the account it belongs in from the chart of accounts. And if your accountant reviews the books, give them access through a role rather than sending exports back and forth.

The aim is not to remove the accountant from month-end. It is to give them a finished set of books to review on the first working day, instead of a box of paper to type in by the tenth.
