Hotel deposits and check-out billing, done cleanly

A guest who paid a deposit, topped up mid-stay and settles at the desk should leave with one clear invoice. Here is how to keep it that way.

Most disputes at a hotel front desk happen in the last five minutes of a stay. The guest remembers paying a deposit, the desk remembers a different amount, and the invoice on the counter does not show either clearly. Nobody is being dishonest; the payments were just recorded in different places.

The cure is to treat the booking as the one place where every payment lives, from the first deposit to the final settlement, and to let the check-out invoice be built from it.

Take the deposit against the booking

A deposit is not a separate sale. It is a part payment towards a stay that has not happened yet. In the Nizam Hotel app, you record it against the booking itself, by cash, card or transfer, and it gets its own receipt. The booking then shows what has been paid and what is still owed.

The same goes for anything paid during the stay. A guest who extends by two nights and pays for them at the desk is making another part payment on the same booking, not starting a new one.

A check-in to check-out routine

  1. Take the booking from the room's own calendar. Booked nights are blocked, so the room cannot be sold twice. Add the guest's details, and their ID if you need it.
  2. Record the deposit against the booking when it is paid, and hand over its receipt.
  3. Check the guest in on arrival and take any further payment, in full or in part.
  4. Before check-out, open the booking and read what is still owed, so the desk can tell the guest the exact figure.
  5. Check the guest out. The stay becomes a hotel invoice with one line per night at the real rate, VAT, and every payment already made shown on it.
  6. Email the invoice to the guest or print it on the design you chose.
Good to know The nightly rate can change by day of the week. A guest who stays Thursday to Sunday sees each night at its own rate on the invoice, which answers the most common question at check-out before it is asked.

Why one invoice at the end matters

Issuing a separate invoice for the deposit, another for the extension and a third at check-out may feel tidy, but it leaves the guest holding three documents and the hotel with three things to explain. One invoice for the stay, with each payment listed against it, is easier to read, easier to check and easier to file.

It also keeps your books straight. In the Accounts app, a payment taken before the stay is finished is money received in advance, and the stay's invoice records the income when it is issued. Because both come from the same booking, the figures agree without anyone matching them by hand.

Watch out Avoid recording a deposit as a general receipt outside the booking. It will not appear as paid at check-out, and the guest may be asked for money they have already handed over.

Guests are emailed at each step of the stay, and ZATCA is told when the booking is paid, so the desk does not have to remember either. What the desk does have to do is simple: put every payment on the booking. Do that consistently, and the last five minutes of every stay become the easiest part of it.
